The Student Services Officer is responsible for the following tasks:
 Attending to phone calls and Student Services email account and forwarding emails to the relevant person and liaising with them while trying to improve the response turnaround time
 Maintaining the Data Entry Records in accordance with the policies and systems.
 Data entry and updating of student’s profiles and details in RTO Manager. Notify staff about any profile update such as email or mobile so governing bodies can be informed.
 Maintaining security and confidentiality of information in accordance with policy and procedures.
 Liaising with staff to ensure efficient management of student enquiries and deadlines are met along with accurately recording, filing, and distributing all student-related inward and outward correspondence including email and internal correspondence.

 Reporting any shortfalls and discrepancies to the Team Leader, Coordinator or Manager.
 Preparing reports as required and status update of students on RTO e.g withdrawal, deferred, debt collectors.
 Processing of Meshed workflow tickets regarding leaves, fees extension and transfers.
 Willingness to work on a few repetitive administrative tasks.
 Assisting with other administrative duties as required and any other duties designated by the Team Leader, Coordinator/ Manager.
 Attendance monitoring for each cohort and catch up class arrangement with students by liaising with Academic team.
 Following up with students for payments via emails/sms/calls, and update records on RTO, usually on a fortnight basis.
 Following students and record keeping with Warning emails from the governing bodies.
 Check Acceptance documents of student during Intakes and Mirroring Ezypay payment plan on RTO while making necessary adjustments for each student’s payment considering the variables such as scholarships, course type and extension requests.
 Enrolling students into their units in RTOM.
 Canvas orientation monitoring and upload of students’ photo from Canvas to RTOm profile.
 Assist other staff in conducting online workshops or graduation ceremonies and offer assistance to the organizers of such online events.
 Ability to offer reasonable flexibility in the working hours to help the team in special circumstances such as intakes or workshops

 Creating qualifications documents, upload it on system and graduating students
 Working on monthly student graduation list, check for outstanding payments, incomplete study components and liaise with relevant team (Academic, Internship or Finance team) to update the records

 A degree with subsequent relevant experience, or an equivalent combination of relevant experience in education/training or services industry.

NECESSARY

 Demonstrated ability to work effectively and follow briefed instructions
 Ability to organise and manage multiple priorities
 Excellent administrative, organisational and time management skills
 Very good communication skills, verbal and written
 Proficiency in MS Office Suite, Student Management System (RTO Manager preferred but not essential)
 Strong attention to detail and follow through on tasks
