Job Description: Under minimal supervision, the Data Management Trainee is responsible for managing and processing the incoming trade data that affects the Sales Teams commissions. Each analyst is assigned their own territories that will need to be worked daily. Additionally, the Sr. Data Management analyst takes on additional responsibilities such as lead project manager, mentoring others on the team, attending meetings with the supervisor. Assigned to project teams as needed, extensive firm knowledge for both SalesForce and SalesPage processing, working specialized firm reports, responding and processing the work in the DM email box, answering questions on the SharePoint question log and a range of other additional responsibilities. Equally important, the analyst is responsible for the integrity of all systems and applications to ensure the correct territories are receiving proper credit and their commissions in a timely manner.
Key Responsibilities/ Duties:

  • Demonstrates extremely strong proficiency in SalesPage, SalesConnect, SalesForce, SharePoint and any other resources utilized to complete the daily workflow.
  • Process SalesPage daily resolution work in the SalesConnect, BrightScope, SalesConnect Alias Move and Assets resolution feeds.
  • Process contact changes for address, phone number, email, contact and all related information in SalesPage and SalesConnect systems.
  • Daily SalesConnect Alias move work.
  • Adding items to various SharePoint logs as needed.
  • Attending regular team and other required meetings weekly.
  • Maintain update and move all territory assignments including, contact, location, and firm data in SalesPage and SalesConnect.
  • Reviews SalesForce, Discovery and FINRA systems, verifying the accuracy of the data and acting as liaison in identifying and resolving problems.
  • Maintains relationship and communicates regularly with their RAC and SAC sales team in their covered territories.
  • Work closely with Dealer Services, IT, and other departments as needed.
  • Provides client sales reporting and adhoc reports to Finance on request.
  • Regularly refers and adheres to Data Management policies and procedures.
  • Update and maintain Data Management policies and procedures by assigned deadlines.
  • Process online and offline additional daily, weekly, and monthly reporting as assigned.
  • Process work off the active project list daily after completing the SalesPage/SalesConnect resolution feed work.
  • Maintain and process work for specialized territories such as Pershing, National Financial, UIT, TD Ameritrade, Charles Schwab, PFS, and any other specialized territories.
  • Utilize various portals such as the TD Ameritrade and Fidelity portals to verify research information.
  • Proficiently utilize all Data Management tools for researching contact information.
  • Maintain external dealer contact relationships to ensure continued receipt of broker dealer representative contact lists.
  • Volunteer to work on extra assignments as needed.
  • Work closely with IT on various system issues. Follow up as needed.
  • Create annual SMART goals to meet or exceed that add value to the Data Management Department.
  • Responsible for completed daily, weekly and monthly work by snapshot by the assigned deadlines.
  • Work and maintain the SalesForce BUFU case load (address changes, contact updates, territory changes, etc.).
  • Create and retain positive communication with BUFU SAC’s, RAC’s and upper management sales personnel when working the BUFU case load.
  • Maintain, respond and process all items out of the Data Management inbound mail box. Assign work out to Analyst l & ll when appropriate.
  • Work closely with leadership and IT on system sync issues
  • Work on project teams with leadership, including the SalesConnect team, IT, SalesPage team, Finance, and other weekly projects/meetings assigned. Answering questions during calls, sending email responses and organizing Q&A for follow up as needed.
  • Submitting I.T. tickets for system issues, enhancement requests and other items as needed. Follow up until completion.
  • Answering the questions log on SharePoint submitted by analyst l & ll team members.
  • Work directly with Finance answering questions, researching trades and following up as needed.
  • Extensive commission and territory research.
  • Assist with any of the specialized firm reports that need processing such as the duplicate firm merge report, terr 4 no 920 terr report, or any additional firm projects that come up.
  • Assist with removing or adding locks on accounts.
  • Answer questions on the Firm Team log (SharePoint).
  • Firm work quality check for processed items.
  • Create SalesPage rules, queries and exceptions.
  • Meeting regularly with team and leadership to discuss upcoming changes and challenges.
  • Mentor and assist others in the Data Management team as requested by leadership
  • Flexible hours and ability to come into the office as needed
  • Learn all SME processes relating to firm processing including BUFU’s, firm researches, firm Adds, firm channel updates, territory and address lock research add/remove. Maintain and process firm work in SalesPage and SalesForce.

Key Descriptions:

  • SalesForce – front end platform utilized by the sales organization for advisor information (i.e. contact info, sales/redemptions/assets, call logs/meeting logs)
  • SalesPage – back end platform utilized by Data Management to maintain the integrity of the advisor data that the sales organization uses. This data feeds directly into SalesForce.
  • SalesConnect – vendor platform that maintains firm, office, and advisor data for several asset managers. This feeds directly into SalesPage based on derived designations from Data Management.
  • BUFU – broker update/firm update. These are request sent through the SalesForce platform by the sales organization.
  • SAC/RAC – external and internal sales consultants.

Knowledge: Knowledge of financial industry preferred

Formal Education: Master’s degree or equivalent years of direct experience
