Responsibilities include:
Manages and performs all administrative including monitoring incoming phone calls and correspondence, maintaining a current and organized filing, manages office supplies and other administrative duties.
Prepares the expense and deposit report on weekly basis and works with accounting team on billing.
Maintain office facilities, administrative equipment and computer hardware by coordinating with appropriate personnel and vendors. Maintain office and kitchen supplies and ensure areas are presentable.
Maintain proficiency in computer software programs in Word, Excel, Outlook, Power Point and other programs as needed.
Prepare and edit correspondence, communications, presentations and other documents.
Manage and maintain Proprietors and executives schedules, appointments and travel arrangements.
Excellent interpersonal skills, coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Confidential Information – Maintains the confidentiality of sensitive information that may be divulged directly or indirectly.
Required skills:
Minimum 1 year of experience as an executive assistant.
Strong organizational skills.
Excellent time management skills and accustomed to working within a deadline.
Working with third party clients in a professional manner.
Excellent computer literacy skills and ability to navigate complex processes.
Verbal, analytical and presentation skills necessary.
Proactive and solution oriented with ability to make confident decisions.
