Primary Responsibilities
• Handle enquires /Answer phone calls, Receive and Welcome guests
• Record Daily/Monthly attendance, Leave of Employees and disseminate the information to reporting manager / HR
• Maintain HR Records of employee contract / CV / Documents / Termination Letter, etc.
• Source CV of candidates for New or vacant positions, Document verification and Reference check of new recruits
• Maintain contact list of employees and forward to OMA HO on monthly basis
• Email id creation for Employees for MobiSwipe/ ODS
• Bill Maintenance – maintain record of Telephone, Power & Water Bill and Issue of Cheques for Monthly Bills
• Record Power meter reading on last day of every month.
• Daily DSR & Weekly meeting brief reporting
• Maintain record of particulars as below:-
1. Bank A/C Statement, Bank Documents and Cheque Book
2. DST mPOS monthly sales report
3. Asset Ledger – Office Physical asset, Employee wise Assets record (Laptop, Mobile, Dongle, etc.)
4. Conduct, Maintain and Record daily consumables and Quarterly stock taking of Assets
5. Record and maintenance of Keys, Files / Register Maintained, mPOS device issue record, Stationary register
6. Maintenance of Correspondence File
7. Record of lease deed / renewal.
8. Daily Attendance Register of Employees, Guest Register Maintenance, Items in/Out Register
9. Biometric Access Card Reader allotment / de-allotment
• Liaise with OMA Digital Sales / Finance / Admin / HR Team
• Forward monthly invoices, Purchase Orders, Copy of Approvals / scanned copy of Cheques to OMA HO Finance Team.
• Responsible for AMC of equipment.
• Travel Plan / Ticket arrangement of management.
• Liaise with Company CA for TDS / GST Payment.
Secondary Responsibilities
• Liaise with Enterprise Center Administration for Monthly Bill Payment.
• Liaise with MTNL/Vendors.
• Maintain vendor database & vendor registration record.
• Liaise with MobiSwipe Chennai Team / OMA HR / Finance / IT Team for Support.
• Arrange Daily / Weekly / Monthly Meetings.
• CRM: Maintain Customer Database & update the merchants.
• Supervise Office Boy & delegation of work.
• Maintenance of Conference room / Reception / Pantry
• Maintain cabin wise/Room wise Inventory List
• Maintenance & working of smoke & fire detection system.
