Responsibilities:
Providing secretarial, clerical and administrative support to Executive Director and ensure that the services are provided in an effective and efficient manner.
Manage calendars effectively and give timely reminders.
Co-ordinating with all HODs and other divisional heads for reviews and management meetings.
Draft Minutes of Meetings for all meetings and follow-up on the action points.
Assisting in the planning and preparation of meetings, conferences and conference calls.
Preparing agenda – taking minutes – follow-up on the action points.
Assisting in the arrangements for party/ get-together events, etc.
Organise events and ensure smooth execution
Prepare/edit reports, presentations or organisational charts as requested by the Executive Director. Handling daily business operations tasks including attending to calls from clients, company profiles, business queries.
Compose, dictation, type, and distribute meeting agendas, routine correspondences and reports.
Set up office filing systems.
Ability to work independently
Knowledge of information and communication management
Excellent team building and computer mail drafting skills
Able to multi-task
Great attention to detail
Performed difficult, varied and confidential administrative duties
Prepared letters for administrators and staff
