Role: Executive Assistant
Reporting to: HR Director for Customer Service in India.
Amazon India is seeking an Executive Assistant to work with the HR Director for Customer Service in India.
This fast-paced and high-growth business is focused on our mission to delight customers across the globe with the best customer service. We require an individual with flexibility, strong business acumen, multi-tasking skills, superior attention to detail, and a desire to learn.
In this role, you will be responsible for creating and monitoring moderately complex plans and schedules, as well as coordinating facets of geographically-distributed teams. This role requires the ability to look around corners and deliver results with minimal guidance. The right candidate will juggle competing priorities with sound judgment while maintaining a positive attitude, despite the pressures of a fast-paced environment. They will also be detail-oriented and well organized. This position will work closely with a team of Executive Assistants to facilitate key team activities and projects. The ability to work independently and collaboratively with a strong sense of ownership, bias for action, and customer obsession is highly valued.
A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The ideal candidate must be able to work successfully in a team environment and build effective working relationships across various teams in India and other countries where collaboration is necessary.
Key Responsibilities Include:
-Managing fluid calendar requests, meeting invites and conference room logistics, and floor access
-Planning travel and accommodating changes
-Processing expense reports
– Working closely with stakeholders across India/APAC and WW to schedule meetings
– Capturing Minutes of meetings, communication with stakeholders on behalf of the HR Director
– Document writing, designing flyers, newsletters and leadership communication templates
-Managing large event logistics, catering, accommodations, and materials (e.g., All Hands events, etc.)
-Planning space for the team and facilitating office moves.
-Attending key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items.
-Driving team activities (e.g., staff meeting agendas, weekly business reviews, All Hands events, snacks and supply ordering, team-building events, launch events and recognition posters).
-Managing workflows that require approvals
BASIC QUALIFICATIONS
· Experience with executive level calendar management
· Experience with domestic and/or international travel coordination
· 5+ years of professional experience
· Experience with Microsoft Office Products
PREFERRED QUALIFICATIONS
· 1+ years of experience in an Executive Assistant role
· Exceptional written, oral, and interpersonal communication skills
· Ability to design newsletters, flyers, executive communication templates
· Detailed planning, time management, and organizational skills
· Ability to work cross functionally as part of an EA team
