Purpose:

  • Takes primary responsibility for administration management and work closely with senior leadership team and lead the team of Executive Assistant Services

Responsibilities
Communications:

  • Effective communication skills – both written and spoken English
  • Well-versed in daily schedule management – including work plans and meetings (with internal business partners or external stakeholders).
  • Maintaining action trackers (and follow-up), as well as the status of assignments.
  • Effective communication with stakeholders (both internal and external).
  • Vigilant when handling phone calls and/or conversations – no disclosure of any sensitive and confidential information (including the Bank’s or customer details as well as any private data).
  • Maintain good relationship with colleagues and stakeholders, respect and value our diversity and collaborate as one team.
  • Strong managerial and organizational skills with the ability to multi-task.

Secretarial and Administration support:

  • Coordinate monthly meetings and taking minutes, as required.
  • Coordinate weekly huddle and taking action points, as required.
  • Providing MIS reports, as required.
  • Review and validate any T and E claims submitted for approval – when acting as delegated proxy.
  • Provide office administration support, e.g. Business cards, stationeries, meeting rooms booking.
  • Raise eProcurement (vendor invoices) and ensure payment on a timely basis
  • Provide reminders (verbal or email) to colleagues to create awareness of and ensuring adherence to all policies and procedures. (e.g. clean desk policy/PDPA/Go Green)
  • Active in participation in all staff engagement activities organised by the team members and able to assist in coordinating activities to make a success event.
  • Adhere to all Group Policies and practices it on our day to day work in handling all work-related matter.
  • Flexibility and willingness to deal with ad-hoc assignment.

Essential Knowledge, Skills and Experience:

  • Organizational ability and knows how to manage a filing system, track incoming and outgoing correspondence and coordinate the flow of paperwork around the office.
  • Good writing skills and ensure quality on correspondence, emails and memos and enable the EA to assist with proof-reading important documents.
  • Should be able to actively manage his inbox and/or that of other team members – i.e. Should have had experience managing inboxes of senior management before with drafting responses, scheduling in calendars, arranging travel, expenses etc
  • Small scale project management – able to follow-up with stakeholders on responses when they have not replied and make sure candidate understands timelines of the various team tasks so can independently raise red flags if someone has not responded on certain time
  • Content creation and update for the team Bridge page. Upload of stories, proof reading, formatting, etc
  • SharePoint admin (uploading of files, access, technical issues)
  • Maintaining the Bridge page with admin support
  • Maintain central mailing lists and BEP contacts
  • PowerPoint skills – Should be able to finish edits requested by the team and complete

Qualification required for the role:

  • India – Bachelor’s Degree / Graduates from a recognized university
  • 12+ years relevant work experience as an Administrative Assistances in a firm and people management experience
