Executive Assistant
This role is based in Pune. The role holder will be responsible for providing a professional and proactive EA service to a small number (expected to be 2-3) of Directors
The job reports into the Head of Process Automation CoE and work closely with Global and Local Business Managers, Delivery Leads in PACE and BA&A Leadership
What will you be doing

  • Organising and prioritising diaries, ensuring that the diary is kept constantly up to date with detailed entries, keeping all relevant information clearly to hand and demonstrating proactive forward planning
  • Organising a wide range of meetings, ensuring that logistics are effectively managed and ensuring the Senior Leader is in the correct place at the right time with relevant papers and acting as a support when reminding of future commitments/matters requiring their attention
  • Using initiative in resolving queries where possible, otherwise channelling to appropriate area and following up where appropriate
  • Organising and managing business travel arrangements (including booking travel arrangements, planning itineraries, visas, foreign currency, medical requirements & submitting expenses)
  • Liaising with relevant people to ensure that all papers are prepared, vetted and collated in advance of meetings
  • Where requested, monitoring emails, correspondence and incoming queries both internal and external, ensuring all issues are dealt with in a timely fashion
  • Maintaining strong relationships with other EAs to ensure an extensive network of contacts and an effective knowledge sharing platform and to provide occasional cover
  • Monitoring phone calls, ensuring detailed and accurate messages are taken and managed appropriately
  • Typing general correspondence and other administrative responsibilities, such as filing, maintenance of meeting records, contacts and business cards etc
  • Attending meetings to collate minutes and issue appropriate updates; ensuring all actions are communicated and carried out within deadlines
  • Alongside other EAs, occasionally organising events at both internal and external venues; liaising with third party vendors, managing attendee lists; dietary requirements, payments and adherence to the Global Expense Policy
  • Meeting and greeting visitors; conveying a professional image at all times
  • Practice records management in line with company policies and procedures

What we’re looking for:

  • Previous Executive Assistant experience
  • Excellent communication skills – oral and written correspondence and high degree of interpersonal skills when dealing with a range of people and complex situations
  • Proficient in Word, Strong Excel skill, with experience of building presentations using Power Point and Outlook
  • Very strong planning and organisational skills
  • Thrives on challenge and can proactively resolve situations in a diplomatic manner
  • Ability to act as the first port of call in organising your Manager’s time effectively
  • To act with confidentiality and understand information sharing processes
  • Ability to build key relationships across the business; working in effective partnership with various stakeholders
  • Effective partnership within a supporting role, the ability to build relationships and understand the preferred style/ known wishes of your Senior Leader
  • Takes on accountability for tasks and has confidence when highlighting potential risks and controls that may have a possible effect on the business
  • Can competently and confidently deal with people at all levels
  • Can provide structure and direction to others in an unstructured environment
  • Strong implementation focus to deliver against and exceed client expectations

Skills that will help you in the role:

  • Previous experience working within financial services would be desirable
