A. Interacts with directors and carries out their requests

Communication
A. Answers phone calls and transfers them as necessary
B. Handle phone calls and all related correspondence
Appointments & Meetings (Not Necessarily)
A. Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.
B. Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
C. Creates agendas and takes meeting notes
Book Keeping (May or May Not)
A. Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.
B. Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.

C. Maintains stock lists and orders office supplies as needed
D. Photocopies and files appropriate documents as needed
E. Provide assistance with different budgeting and bookkeeping activities
F. Keep databases in check and update them regularly
Purchasing & Expenses
A. Purchasing office supplies, equipment, and furniture.
B. Handles expenses and billing cycles
C. Assists in purchase orders and invoicing
D. Control the office supplies state and make sure it is in accordance with office needs
Office management (Applicable)
A. Overseeing the maintenance of office facilities, and equipment.
B. Coordinate and oversee all office activities
C. Ensure adherence to relevant company procedures and policies
D. Oversee the members of the administrative team and coordinate their activities
E. Supervise cleaning crew and cleanliness of office space

A. Performing other relevant duties when needed.
