Position -TECHNICAL ASSISTANT TO CHIEF OPERATINGOFFICER (COO)
QUALIFICATIONS AND EXPERIENCE:
Work Location –Oman
1.Diploma /certificate in Secretarial practice. Advanced Diploma in Office Management is desirable.
2.Ability to learn new skills and expand outside the core secretarial role.
3.Ability to be mobile/work outside normal hours and deal with hectic schedules.
The candidate should be proficient in Arabic.
ROLES & RESPONSIBILITIES:
1.Assist in organizing technical meetings for the Chief Operating Officer (COO) including necessary infrastructural arrangements, co-ordination for issuing agenda and maintaining minutes of the meetings and filing of various important documents of the company related to COO’s office.
2.File all Technical documents/contracts and all other documents of COO’s office in a secure environment.
3.Responsible for the orderly establishment, maintenance, archiving and retrieval of information and correspondence in order to ensure easy access to filed data. Maintain custody of all original documents and updates register in respect thereof. Develop Master COO Office files register including labeling current files and archiving all old files.
4.Follow up on timely response of all technical outside correspondences and reports for COO.
5.Handle ad-hoc tasks and responsibilities as and when allocated.
6.Help the COO in managing Technical Communication & PR relations with community and stakeholders.
7.Handle sensitive and confidential information and files in accordance with company policies.
8.Arrange and track Technical Lean projects Go-see for the COO-LT.
9.Arrange and perform work in order of need and urgency.

WORKING CONDITIONS:
1.Office based role with base location as Surcity, 150 Kms. away from Muscat.2.5/2 work pattern.
JOB SKILLS:
1.Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
2.Proficiency in Arabicand English languages.
3.Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
4.Basic computer skills including MS Office suite, e-mail system, internet etc. is essential.
5.Knowledge of principles involved in planning and organizing, prioritization, time management and coordination of people and resources.
