– Adhere to the organizational policies and procedures whilst maintaining a creative and inspiring approach to the facility management services
– Comply with all requirements of the local statutory authorities and other relevant bodies.
– Produce a periodic activities programme for internal FM team for daily/weekly/fortnightly/monthly/quarterly/half yearly and yearly basis.
– Oversee and conduct regular checks/inspections on the condition of the building, all facility related issues & services and take corrective action. Report to the Senior management about the nature and extent of abnormalities found, corrective actions taken and the extent of repair works carried/required.
– Conduct periodical operational checks/inspection rounds of all assets, equipment/machinery, MEP services, fire alarm systems, fire-fighting systems and appliances, report and resolve all issues within stipulated time period.
– Contact approved external vendors/AMC suppliers and contractors for repair works, following guidelines as specified and issue work orders as required
– Arrange and supervise minor repairs internally
– Monitor the work of external vendors; liaising and reporting on progress to the management; informing them when jobs have been satisfactorily completed
– Take responsibility, within the limitations of the budgets, for all furniture, fixtures and fittings. Repair or report back regularly to the Senior Management over issues on a regular basis
– Organize the set up and take down the faulty tools, machinery, equipment for repairs with adequate replacement planning to avoid disrupting operations
– Daily monitoring of the security personal ensuring all procedures are adhered to and time-keeping of their schedules. Ensure all security personal and the FM teams have updated personal records of Visa, Emirates IDs, passport copies etc.
– Arrange and assist in the operation of the fire alarm system and ensure periodical fire drills
– Analyse, report and advice on matters relating to Solar/DEWA energy use. Spread awareness and arrange campaigns within the building for ensure all departments are aware of energy conservation of both energy and water (e.g. switching off lights, controlling water usage in toilet areas etc…)
– Work in conjunction with the various departments for periodic activities such as Pest Control, Facade Cleaning and any other short term and long-term maintenance activities.
– Ensure that all landscaped areas are maintained at all times and kept tidy and clean
– Monitor the quality of cleaning undertaken by internal housekeeping team, external contractors or others
– Ensure all the internal and external water bodies including swimming pool, are kept clean and safe for the
– All chemical levels & temperature must be checked twice daily and reported. Also ensure that the swimming pool area is secured when its in use or when the life guard is not present
– Assist with final settlements of Solar Power, DEWA, Etisalat and internal FM team’s bills/invoices etc
– Detailed report of consumables received must be provided within one week of supply
– Maintain and report the Business Continuity/disruption Plan/ Emergency response Plan
– Test different equipment, systems etc on periodic basis and report the findings. Keep a report of all tests for future reference.
– Engage in the professional development of the in-house Facility Management team and arrange needed high quality training.
